Foxtrot Tours – Terms & Conditions of Booking
By booking a tour with Foxtrot Tours, you (“the Client”) agree to the following terms and conditions. These terms govern the relationship between you and Foxtrot Tours (“the Company,” “we,” “us,” or “our”) and are legally binding. Please read them carefully.
- Booking and Payment
A non-refundable deposit of 30% of the total tour price is required to secure your reservation.
The balance is due no later than 30 days before the start date of the tour.
Bookings made within 30 days of the departure date require full payment at the time of booking.
Payment may be made via bank transfer, credit/debit card, or other methods as agreed.
- Cancellations & Refund Policy
a. Cancellation by Client:
More than 30 days before departure: loss of deposit only.
15–30 days before departure: 50% of the total price forfeited.
14 days or less: 100% of the total price forfeited.
b. Cancellation by Foxtrot Tours:
We reserve the right to cancel a tour due to unforeseen circumstances, including but not limited to force majeure, safety concerns, natural disasters, or low enrollment.
In such cases, we will offer a full refund or reschedule the tour. We are not liable for any additional costs incurred by the client (e.g., flights, insurance).
- Tour Modifications
We reserve the right to make changes to the itinerary, accommodation, transport, or guides if necessary for the comfort, safety, or well-being of guests. These changes will be communicated as early as possible.
- Client Responsibilities
Clients must be in suitable physical and mental health for the tour they are joining. Adventure hiking and mountain tours require good fitness and may not be suitable for individuals with mobility limitations or serious health issues.
You agree to follow safety instructions from guides at all times.
Foxtrot Tours reserves the right to remove any participant who jeopardizes the safety, enjoyment, or wellbeing of the group or staff, without refund.
- Travel Insurance
Comprehensive travel insurance is mandatory. It must cover emergency medical care, evacuation, personal liability, and trip cancellation.
Clients must provide policy details before tour departure.
- Health, Safety & Risk
Adventure travel involves risks including (but not limited to): injury, illness, unpredictable weather, wildlife encounters, and remoteness. By participating, you acknowledge and accept these risks. All reasonable precautions are taken by our team, but we are not responsible for incidents beyond our control.
- Passports, Visas & Documents
It is the client’s responsibility to ensure all travel documents, visas, vaccinations, and health certifications are valid and up to date.
Foxtrot Tours is not responsible for denied boarding or entry due to documentation issues.
- Force Majeure
We are not liable for failure to perform any obligations due to events beyond our control, including but not limited to: natural disasters, war, strikes, pandemics, government orders, or severe weather conditions.
- Photo & Video Release
During the tour, we may take photographs or videos for promotional use. By joining a tour, you consent to your image being used for marketing purposes unless you inform us in writing before departure.
- Complaints & Dispute Resolution
If you have a complaint, please notify your guide or tour leader during the tour so we can resolve it promptly. If unresolved, written complaints must be submitted within 14 days of the tour’s conclusion. Disputes will be governed under the laws of Greece, and any legal proceedings shall take place in Chania, Crete.
- Privacy Policy
We only collect and retain client information required for booking, safety, and communication. We never share or sell personal data to third parties.
- Dietary Requirements
We do our best to accommodate special dietary needs such as vegetarian, vegan, gluten-free, or allergy-related requests. Clients must notify us of any dietary restrictions or food allergies at the time of booking or no later than 14 days before tour departure.
While we make every effort to cater to dietary needs, we cannot guarantee that all preferences can be met in remote areas or mountain shelters. Cross-contamination may occur, so those with severe allergies should exercise caution.

We are mountain lovers, explorers of new, unknown paths. We love walking and running in the most remote corners of Crete. Although we are an international group, we are based in Chania for many years. We have experience in organizing tourist expeditions, multi-day trips into wilderness and trail running competitions.
